Community Guidelines & Terms of Participation

Welcome to the Phocas User Group Forum. We are glad that you are here. This is your space to connect with fellow Phocas users, share ideas, ask questions, and get more out of our products together. Before you dive in, please take a moment to read through these guidelines. They are here to keep the community friendly, useful, and safe for everyone. By joining and participating, you agree to what is written here.
1. What the User Group Is For
The Phocas User Group is an online community on the Phocas website, run by Phocas Software (“Phocas”, “we”, “us”). It is a place where Phocas customers, partners, and invited users can:
- Share tips, tricks, and best practices for using Phocas products
- Ask questions and help others with product related queries
- Connect with the broader Phocas community
- Give feedback and ideas about our products
2.Who can join?
2.1 Eligibility
The User Group is open to:
- Current Phocas customers with an active subscription
- Employees or representatives of Phocas partner organisations
- Anyone else specifically invited by Phocas
2.2 Setting Up Your Account
When you sign up, please use accurate details as it helps us keep the community trustworthy. A few things to keep in mind:
- Keep your login details to yourself and don’t share your account with others
- Let us know if you think someone else has accessed your account
- You are responsible for anything that happens under your account
We reserve the right to decline or remove access if needed.
3.How to Be a Good Community Member
3.1 The Basics
We want this to be a genuinely helpful and welcoming community. Here’s what we ask of everyone:
- Be respectful and kind. Treat others the way you would like to be treated
- Keep your posts relevant, accurate, and useful
- Respect others’ privacy and intellectual property
- Use the platform for its intended purpose which is sharing knowledge about Phocas products
- Follow these guidelines and the law
3.2 What’s Not Allowed
To keep things positive and on-track, please don’t:
- Post anything that is offensive, abusive, threatening, or harassing
- Share false or misleading information about Phocas or anyone else
- Upload files containing viruses or malicious code
- Spam other members or use the platform for unsolicited promotions
- Pretend to be someone you are not, including Phocas staff
- Collect other users’ personal data without their knowledge
- Try to access parts of the platform you are not supposed to
- Post content that infringes someone else’s copyright or intellectual property
- Share confidential information that belongs to Phocas or a third party
- Do anything that could harm the reputation of Phocas or the community
If we see content or behaviour that breaks these rules, we may remove the content or suspend the account. We will use our judgement and may not always give advance notice.
4.Your Posts and Content
4.1 It’s Still Yours
Anything you post in the User Group belongs to you. That said, by posting it here, you are giving Phocas permission to use it to run and improve the platform and our products. We won’t sell your content or use it in misleading ways.
4.2 You are Responsible for What You Post
Please make sure what you share is accurate and above board. Phocas does not verify every post, so we can’t be held responsible if something turns out to be incorrect or causes issues for someone who relied on it.
4.3 Moderation
We may review and remove content that:
- Breaks these guidelines or the law
- Could harm the community or Phocas
- Is off-topic or unrelated to Phocas products
We don’t promise to monitor everything, but we do care about keeping this a good space.
5.Intellectual Property
5.1 Phocas Content
Any content that Phocas shares on the platform (including without limitation documentation, guides, product information and logos) is ours. Please do not use it outside the platform without asking us first.
5.2 Feedback and Suggestions
We love hearing your ideas! If you share feedback or suggestions about our products or the platform, we may use those ideas to improve things. We won’t be able to compensate or credit you for feedback you share here, so please keep that in mind before posting.
6.Your Privacy
How we handle your data is explained in our Privacy Policy, which forms part of these terms. By joining the User Group, you agree to that too.
A heads up: what you post publicly in the community can be seen by other registered users. Please be thoughtful about sharing personal information, yours or anyone else’s.
7. Confidential Information
Sometimes Phocas might share early access features, beta updates, or other non-public information in the User Group. Unless we say otherwise, please treat that kind of information as confidential and do not share it outside the platform.
8. External Links
You might come across links to other websites in the community. We do not control those sites and can’t vouch for their content. Clicking through is at your own risk.
9.A Few Important Caveats
9.1 Platform Availability
We do our best to keep the platform running smoothly, but we can’t guarantee it will always be available or error-free. We may need to take it offline for maintenance or updates from time to time.
9.2 Not Professional Advice
What you read in the User Group is shared by community members and Phocas staff for general discussion. It is not professional, legal, technical, or financial advice. For anything important, please check with a qualified professional.
9.3 Our Liability
To the extent permitted by law, Phocas won’t be liable for indirect or consequential losses arising from your use of the platform or content posted by others.
10. Leaving or Losing Access
If you want to close your account, just get in touch with us at the contact details below and we will sort it out. We may also need to suspend or remove your access if these terms are breached, or if we believe your activity is harmful to the community. Any content that you have posted may remain on the platform after your account is closed, at our discretion.
11. Updates to These Terms
We will update these terms when needed. For example, if the platform changes or legal requirements shift. When we make significant changes, we will let registered users know by email or via a notice on the platform. Continuing to use the platform after an update means you are happy with the new terms.
12. Governing Law
These terms are governed by the laws of New South Wales, Australia. Any disputes will be handled by the courts of New South Wales, Australia.
