In the Phocas Financial Statements module, all layouts created within a database are globally visible to anyone who has access to that database’s financial statements.
While row-level security handles the underlying data side well, organizations often need to maintain distinct layouts for completely different audiences—such as a Board-level summary, a Management P&L, and Branch-specific reports—within the exact same database.
Currently, trying to manage this creates major operational hurdles:
Cluttered & Inappropriate Visibility: Branch managers and staff can see the dropdown options for board-level and executive statements, exposing layout names and reports they shouldn’t be viewing.
The “Hide” Toggle: Using the “hide” toggle (the eye icon) to clean up the menu breaks existing Favorites and Dashboard links tied to those templates, making it an unusable workaround.
Proposed Feature:
Add an option to manage access or visibility per individual financial statement layout, mapped directly to User Groups or Roles.
Administrators should be able to toggle which user groups can see or access a specific layout in the dropdown menu.
If a group lacks permission, that layout simply will not appear in their menu.
Crucially, this permission setting should not break background structural links, allowing admins to safely pin these layouts to Dashboards or Favorites for authorized users only.
It would great if you could implement this feature, it would give finance teams true report governance, a much cleaner user experience, and prevent unnecessary confusion or data exposure across different tiers of management.
