There should be some warning and/or prompt to prevent you from deleting a user that has things that they own. We recently deleted a user who left the company; we checked that they didn’t owner anything but later found out that they had created a custom period within a favorite and the favorite stopped working. Support mention that they have seen this issue before.
Same thing for deleting periods, some prompt to say this is being used in XYZ so you can either go and fix them or delete the favorite also.
+1 on this, been burnt with this before, got in the habit of checking the favourites tab of the user. Its a faff and your suggestion would be a good one.
Also recently raised the potential of a recycle bin for favourites, so if a user removes they have 30 days to undelete.

I dont believe this is resolved (unless you can tell me the following scerario is supported).
If I delete a favourite or dashboard, it is seen in the “deleted Items”, no disputing this and greatly appreciated feature.
Now, if you had a prolific super user which had 20 dashboard and 100 favourites and they leave the business and you need to delete the user, what happens then? This is the nub of @jmills original concern. As per my response on March 2022, you have to check the favourites and dashboards on the user settings and re-assign all objects PRIOR to deleting user.
Phocas recently introduced the data providence tooling for DBs and Sync files which is brilliant at identifying the data lineage, the same on users would be greatly appreciated so you at least get “are you sure you want to delete user?”, because of x,y & z items would be impacted.
Hi @JonKemp I thought the dashboard feature would be a good workaround for people in case they hadn’t come across it. I take your point on the super user. Ive raised this with the team and will see what I can find out in terms of options and/or roadmap.
When removing a user—let’s say an admin, or if the user deleted a handful of favorites/dashboards—the deleted reports will then end up in the “Deleted Items” tab located on the home screen. Once the user is removed from Phocas, those reports will no longer appear if the user was the owner of the reports.
I believe there’s a connection between the user and deleted reports still at the level.
Have you ever unassigned a report (if nobody wants ownership) to a dummy account for the purpose of removing the user and retaining the report?
